Description, purpose and use of records

Correspondence, grant applications and memoranda of approval.

The records are used to administer the application for and approval of Research Semester Research Grants. These grants are derived from a faculty member's regular salary. Upon approval of a Research Semester Research Grant application the University does not deduct income tax from the specific amount of the faculty salary approved for use as a Research Semester Research Grant. Administration of the grant is performed by the individual receiving the grant. Individuals receiving grants are responsible for maintaining all records and receipts necessary for income tax purposes. These grants are not administered by the University. All applications, irrespective of funding outcome, are retained by Research Services.

These records are batched by the semester for which the grant is approved. Within the batch, the documents are arranged alphabetically by faculty surname.

A computer database is used to generate statistical information concerning sources and distribution of research funds within the University.
