Description, purpose and use of records

Records consist of standard audio cassette taped recordings of the Research Ethics Board's meetings. Records are created as an aid to the compilation, drafting and approval of the Board's minutes. They are destroyed 1 month after the minutes receive Board approval. These audio tapes are, therefore, transitory records. That is, they are records of temporary usefulness which are not an integral part of a record series; they are not regularly filed within the ORE's records classification system; and they are only required for a limited period of time for the preparation of an ongoing record (i.e. minutes). Transitory records are not required to meet statutory obligations or to sustain administrative or operational functions.

The approved minutes are the authoritative record documenting the decisions and deliberations of the REB. They are scheduled separately under RRSDA 2003-004, Research Ethics Board Minutes, Agendas and Supporting Papers. See also RRSDA 1999-061, Transitory Records.

Retention rationale

Retention and filing guidelines

Audio tapes are maintained by the ORE's Ethics Officer. S/he is responsible for destroying the tapes at the end of the recommended retention period (CM minutes approved + 1 month).

RRSDA is in force.
