Accessing and Using ORE Database

How do I register?

I just submitted my registration form, how long do I wait before I get access?

You should hear back within 1-2 business days. Check your SFU email for correspondence regarding your registration. You will see a confirmation email from with the subject line, "SFU Ethics Access". You can then access the system to start your applications.

To start your applications:

  1. Log onto the application web site.  

  2. Click on study list on the left of the screen.

  3. Double-click on your application.  Your application should now appear. On the left-hand side of this application, refer to various status bars that appear.

After I submitted my application but before it has been approved, how do I make changes to it?

After you submitted your application, you will not be able to go back into the database to make changes. After the application is submitted, you are given ‘read only’ access.  Please send an email to citing your study number in square brackets in the subject line (e.g. [2008s0679]) and attach your revised documents in PDF format. Be sure to highlight the sections in the revised document showing where the change(s) occur and include a current version date in the footer of the document.

How can I change the Principal Investigator (PI) in my study application?

To change the PI of the study, please refer to the Change in PI Guidance document and Change in Principal Investigator (PI) form which can be accessed through

Also submit an Amendment Request form and change your study documents to reflect the change. Highlight over the changed text.

What should I do if I can't upload documents to my application?

To access or upload supporting documents to your application prior to submission, you will be required to install Adobe Flash. Make sure you have cleared your browser's cache. Send an email to if the problem persists.

After you submit, you will not be able to make further changes through the database and would instead, email

How do I add or change funding information?

This should be done by the study’s Principal Investigator; if you are that person, send an email to  Ask for a funding source to be added. Include:

  • complete an Amendment Request Form. On there, mention the exact name of the funding source and exact funding title assigned to it. Refer to Funding Information
  • if recruitment of participants is ongoing, be sure this funding source gets mentioned in your consent documents. Please highlight the wording change and to the footer, add a version date;
  • if you are a student, staff, or post-doc, please Cc: your supervisor on the email. 

How do I check the status of my application?

  1. Log onto the application web site.

  2. Click on “study list” on the left of the screen.

  3. Your application should now appear. On the left-hand side of this application, check the left-hand side where various status bars appear.

I am unable to log-on to the database with my email and password. What can I do?

Just to double-check, first try to retrieve your password. Then, go to your SFU email. Look for a message from with “SFU Ethics Access Password”. Try to log back on with your log-on. Also, be sure to clear your browsing history and cache first and that you have the most recent version of Adobe Flash. If you still cannot access the ORE Application Database, please email

How can I retrieve my password?

  1. Log onto the database.

  2. Enter your SFU email address used to register.

  3. Click on Forgot Password.

  4. Check your SFU email for a message from with subject line “SFU Ethics Access Password”.

How do I change my password?


  1. Log onto the database.

  2. Click on Help Files on the left.

  3. Click on Re-Set Password and follow the instructions on the pop-up dialogue box.


I am a Supervisor and need to access my student’s/staff/post-doc’s application. How do I do that?

  1. To view, please go to the database, enter email: your SFU email address and your password, corresponding to this system.  

  2. Choose Studies on the left of the screen and scroll down the list of studies at the bottom of the screen until you see the study.  

  3. Double-click on that study to view the study application, risk checklist, and the study checklist.  When done, close and click on the supporting documents tab and click on each file to view.

  4. Please email with your comments and/or approval of the study. Include the student's study number surrounded by square brackets in the subject line (i.e. [2008s0679]).

After I save my study application, how do I retrieve it?

Click on studies list on the left then double-click on your application from the list.
