Re:     Requests for Conference Submissions
___________________________________________________________________________

Each year, the Office of the Vice-President, Academic grants financial assistance for conferences sponsored by the University or by its faculty, and in some cases for conferences in which there is either substantial participation by or partnership with SFU co-sponsors. In this way, Simon Fraser University ensures the enhancement of national and international visibility of our academic community and its commitment to excellence and innovation.

I am pleased to advise that funding of $50,000 will again be available to support conferences in the 2010/2011 fiscal year.  However University funding cannot sustain all of the costs associated with any conference, and applications must identify what efforts have been made, or are being made, to secure external funding.  Similarly, it is essential to provide evidence that realistic registration and other fees are being charged to attendees to defray costs.  At best, the University's conference funds can only serve as "seed" funding to attract more broadly based conference support.  Conference applications will be assessed in this light.  Successful applicants will be requested to submit a report on the outcome of their conference and to return unspent balances to the Vice-President, Academic Conference Fund.

it is recommended that applicants contact Darina Irvine, Associate Director of Meeting, Event and Conference Services (MECS) at local 28801 early in their planning process.  There is no charge for an initial consultation.  Valuable assistance with conference planning is also available at the MECS website:  http://www.sfu.ca/mecs/

Please use the attached Conference Fund Application Form, expanding each section as needed to include the requested information.  Requests for University support for conferences expected to be held in the 2010/2011 fiscal year should be submitted to the appropriate Chairs and Directors of Academic departments/schools/centres who will forward them to their Deans for comment.  Requests from other areas of the University may be submitted directly to me.  Due dates are as follows:

(for Applicant): Friday, October 16th to appropriate Chair/Director
(for Chairs/Directors): Friday, October 30th to appropriate Dean
(for Deans) Friday, November 13th to Vice-President, Academic

Questions about the application process and/or the application form should be directed to Jan Sanderson, VP Academic Office (Jan_Sanderson@sfu.ca).

Vice-President, Academic and Provost
