How to Appoint a Research Assistant

Is the appointment on a FUND 13 or 30-something?

Is it a Scholarship appointment?

(Does the research have anything to do with their thesis? That is scholarship.)

Email archgrad@sfu.ca with the following information:

  • Grant/Project number (find this by logging in at fast.sfu.ca)
  • Employee Name
  • Email Address (SFU email preferred)
  • SFU ID (if applicable)
  • Dates of appointment
  • Wage - Hourly, Bi-Weekly, or Lump Sum (see below for recommended 2020 rates, please provide rate without "benefits @ 12%". Scholarship appointments are not eligible for extended medical or health benefits.)
  • Any maximum for hourly appointments (max. hours or max. pay)?

Is it an Employment appointment?

Email archgrad@sfu.ca with the following information:

  • The Duties form filled out and signed (download before filling out).
  • Grant/Project number (find this by logging in at fast.sfu.ca).
  • Employee Name
  • Email Address (SFU email preferred)
  • SFU ID (if applicable)
  • Dates of appointment
  • Vacation Benefits*
  •     Salaried: min. 10 days/2 wks per year (please include # days)
  •     Hourly: min. 4% in lieu (please indicate %)
  • Wage - Hourly, Bi-Weekly, or Lump Sum (see below for recommended rates, please provide rate without "benefits @ 12%")
  • Is the grant/award/account eligible for extended health benefits? Will the appointment include extended health benefits?
  • Any maximum for hourly appointments (max. hours or max. pay)?
*Note that for salaried vacation benefits, which are required, the Supervisor and Employee will need to track these and ensure all are taken by the end of the appointment. If they are not all taken by the end of the appointment, then the Employee and Supervisor must agree on the number of hours and total dollar value to be paid out, and notify archgrad@sfu.ca.

The Supervisor's grant is responsible for all costs, including vacation pay and statutory benefits.

All employment appointments require the payment of statutory benefits. These include Canada Pension Plan (CPP), Employment Insurance (EI), Workers' Compensation (WCB) and the Employer Health Tax (EHT).

These costs are usually assessed in addition to biweekly or hourly pay, but administrative staff do have a estimating calculator available if you have a fixed budget.

Vacation is also required for any employment appointment:

  • Hourly appointments are assessed 4% vacation paid out biweekly (4% in lieu)
  • Biweekly appointments are assessed starting at 4% (10 business days annually). The employee and supervisor are expected to track vacation days taken, and if there are days remaining at the end of the appointment, then the Department must be notified so the employee can be paid the remaining amount.

Note: “Benefits @ 12%” includes statutory welfare benefits for employment income, estimated to be approximately 8% of salary and statutory holiday pay at a fixed rate of 4%. Either one of these percentages may be increased by law, or in the case of welfare benefits, may vary by individual. Nevertheless, for budgeting purposes, the 12% figure should be used.

Work-Study

For Work-Study appointments, please provide the Grad Program Assistant (archgrad@sfu.ca) the following information:

  • Work-Study declaration form, filled out and signed
  • Student SIN (and Study Permit if they are International)
  • Student ID Number
  • Student Email Address
  • Project Number
  • HAN (Hiring Authorization Number)
  • PAF provided by Financial Aid and Awards when they send the HAN
