Description, purpose and use of records

Records created and used to support the activities and deliberations of the various committees established by Senate. Includes committees with delegated Senate authority and advisory committees. Records include minutes, agenda, correspondence, reports, supporting papers. The records are grouped by committee and arranged chronologically by meeting date.

Note that record-keeping responsibilities for each committee varies according to committee composition.

Retention and filing guidelines

Each committee should clearly designate which member (typically the Chair or Secretary) is responsible for maintaining the official records of the committee (as opposed to the copies of committee records which may be distributed across campus).
