Description, purpose and use of records

Series comprises records made or received by university departments in handling grievance cases brought by university employees under the terms and procedures of a collective bargaining or framework agreement.

Records may include correspondence, memoranda and email; statements of grievance, supporting documentation, signed settlements, notices of decision, minutes of meetings.

Notes

1. This schedule covers both Human Resources as the Office of Pimary Responsibility (OPR) and all other departments (non-OPR).

2. Retention periods assigned for Human Resources’ grievance files are to be reviewed in 2004; no action (destruction or transfer to Archives’ control) will be taken on any of these records until that review is completed to the satisfaction of both Human Resources and the Archives and Records Management Department.

3. The collective bargaining agreement with the Teaching Support Staff Union (TSSU) stipulates that no records relating to a grievance are to be filed on the grievor’s employment file (CBA 1998-2001: Article XIV, section D).
