Terms of Reference: Educational Systems Stewardship Committee
Purpose
The Educational Systems Stewardship Committee (ESSC) develops vision, strategy, policies, and plans which promote, encourage, and recognize the innovative use of educational information systems for high quality learning and teaching both in and outside the classroom. The ESSC works through the appropriate Senate committee(s) when addressing academic policies, practices, and academic integrity; and, works through university management processes when the business pertains to administrative policy and resourcing. The ESSC provides stewardship for all learning management systems, web supported and hybrid learning technologies, classroom technologies, student labs, library systems, and experiential learning systems. All plans, projects, and priorities applicable to educational information systems are within the mandate of the ESSC.
Objectives
- Recommend and develop strategies and policies for educational systems at the SFU
- Create a unified vision for the innovative use of learning systems and educational technologies
- Develop strategies to realize the information systems needs of the Teaching and Learning Centre and create an implementation plan to meet the objectives of the Centre
- Ensure educational systems protect the privacy and intellectual property rights of students and instructors
- Create a consistent and standardized set of educational systems tools delivered and supported by the various support units across SFU
- Establish a framework to enable multiple units from across the university to work together on instructional systems issues
- Identify both the expertise and gaps of all units in supporting and delivering educational systems
- Provide ongoing guidance and recommendations for the selection of emerging educational systems tools
- Provide ongoing guidance and recommendations for the diffusion of effective educational systems use in and outside the classroom
- Provide ongoing guidance and recommendations for the ongoing issues and problems that arise with educational systems use by both students and instructors
- Support grants and funding opportunities to encourage and reward the innovative use of educational technologies
- Ensure security and compliance requirements are met
- Works directly with OneIS SC on all strategic recommendations
Logistics
The Educational Systems Stewardship Committee will meet regularly every two months. Committee members cannot delegate their role to anyone. The co-chairs of the committee are the Associate Vice President, Academic and the Chief Information Officer. The co-chairs will prepare the agenda. Annually, the committee will review the value of the meeting content and attendance. Members are expected to communicate and explain stewardship committee decisions in their respective organization units.

Scope
Stewardship of this committee applies to all educational systems and technologies developed and managed anywhere at the university. Educational information systems issues raised at other committees such as the Instructional Development Group, Learning Technology Connections, Learning Environments, and Classroom Renewal committees will be brought to the ESSC.
