Refund Policy

Recreation Memberships

Refunds for Memberships purchased* at the Recreation Office require approval by Recreation administration.

Refund requests must be accompanied by documentation, such as (but not limited to):

1) Receipt of written medical recommendation from a Doctor

2) Written appeal that outlines the condition or set of circumstances that would prevent you from participating in SFU Recreation activities

With such documentation, a prorated refund (less a 15% administration fee) will be granted upon approval by Recreation administration.

*SFU Students who have been assessed the Recreation & Athletics fee through their tuition are not subject to refunds. Only those who have purchased a Membership through the Recreation Office can request a refund. 

Recreational Programs (Classes, Lessons, Summer Camps & Youth Programs)

More than 5 business days (M-F) prior a course start date:

A full refund (less a 15% administration fee per course) will be issued for course cancellations before the course start date.

Five or fewer business days (M-F) prior a course start date:

Cancellation requests 5 or fewer business days prior a course start date will be considered with:

  1. Receipt of written medical recommendation from a Doctor
  2. Receipt of written recommendation from the Course Instructor, stating the circumstances by which the course is unsuitable for the participant

With such documentation, a full refund (less a 15% administration fee per course) will be issued prior the course start date. A pro-rated refund (less a 15% administration fee per course) will be issued once the course has begun.

Recreation Course Transfers
Course transfers will be considered by administration and based on course minimum registration requirements. A $5 transfer fee will apply.

Group Fitness Passes

More than 5 business days (M-F) prior a course start date:

A full refund (less a 15% administration fee per course) will be issued for course cancellations before the course start date.

Five or fewer business days (M-F) prior a course start date:

Cancellation requests 5 or fewer business days prior a course start date will be considered with:

  1. Receipt of written medical recommendation from a Doctor
  2. Receipt of written recommendation from the Course Instructor, stating the circumstances by which the course is unsuitable for the participant

With such documentation, a full refund (less a 15% administration fee per course) will be issued prior the course start date. A pro-rated refund (less a 15% administration fee per course) will be issued once the course has begun.

Replacement fee for lost or stolen Group Fitness Pass:
Students - $20 for ‘All Terms’ pass
Other - $50 for ‘All Terms’ pass
No replacement pass will be issued for 1-term passes.

The Group Fitness Pass shall bear one puncture only, on the bottom section, and this puncture will be made on purchasing the Group Fitness Pass at the Recreation Office. Any added puncture(s) will render the Pass invalid.

One-on-One, Partner Training, & Private Swimming Lessons

All One-on-One Training, Partner Training & Private Swim Lesson refunds must be approved by administration.

Program Flex Pass

Program Flex Passes are non-refundable and expire at the end of the second term after purchase (i.e. the card is valid for the current term plus the next term).

Student Sport Clubs

All sport club fee refunds must be approved by administration. $5.00 sport club fees are non-refundable.

Recreation Membership Code of Conduct

SFU Recreation is a unique community of students, staff, faculty, and the public connected by active living and leadership development. Our Codes of Conduct are in place to create an environment that is safe, friendly, and inclusive for everyone.

These general rules apply to all facilities, services, and programs associated with our department.  Specific codes of conduct exist for our Fitness Centre, Aquatic Centre, and Recreation Sports program.

Membership and participation with SFU Recreation is a privilege. All members and participants are expected to:

  • Treat all staff, facilities, and equipment with respect.
  • Act with courtesy and integrity while respecting the rights, welfare, and dignity of other members and participants.
  • Adhere to the policies and procedures set by the department and the university while using our facilities, services, and programs.
  • Act in a safe and responsible manner regarding themselves and others.

Members or participants violating University policies or the Recreation Code of Conduct may have their Membership or Day Pass privileges revoked. 

Fitness Centre Code of Conduct

SFU Recreation is a unique community of students, staff, faculty, and the public connected by active living and leadership development. Our Codes of Conduct are in place to create an environment that is safe, friendly, and inclusive for everyone.

Membership with SFU Recreation is a privilege. All members are expected to:

  • Enter only through the main doors to the Fitness Centre.
  • Bring proof of membership (SFU ID or equivalent membership card) every time, and scan in.  Do not leave your card in your locker or office.
  • Wear appropriate clothing and footwear.
    • Clean clothing.
    • Shirts that cover the full torso (no crop tops or shirts that have large cut outs along the side).
    • No denim or jeggings.
    • No open toed footwear or cleats.
    • Minimize the use of colognes, perfumes, and body sprays.
  • Respect your fellow members and Fitness Centre staff.
  • Be courteous and share equipment where possible.
    • Sign up to use cardio equipment (maximum 30 minutes per machine. Your reservation is void if you are more than 5 minutes late).
    • Keep walkways clear of belongings and equipment.
  • Use equipment safely and properly. Do not use equipment for purposes other than what they were designed for.
    • Do not drop or bang weights together. It damages our weights and floors.
    • Keep weights off of upholstery.
  • Use of the internet on cardio machines with this functionality is done so as per SFU Policy GP-24 – Fair use of Information and Communications Technology.
  • Clean up after yourself.
    • Put away all equipment to its appropriate location.
    • Clean chalk off of the bars and floors if you are using this product.
    • Wipe down benches and cardio equipment after use.
  • No food or gum in the facility.
  • No external or private personal training permitted.

Age Requirements:

  • Adult supervision (19 years +) is required for members aged 15 & 16 years old.
  • Members 14 years and under are not permitted to participate in the Fitness Centre.

Report any injuries, equipment malfunction, or concerns to the Fitness Centre staff.

Members violating University Policies or the Fitness Centre Code of Conduct may have their Recreation Membership or Day Pass privileges revoked. 

Aquatic Centre Code of Conduct

SFU Recreation is a unique community of students, staff, faculty, and the public connected by active living and leadership development. Our Codes of Conduct are in place to create an environment that is safe, friendly, and inclusive for everyone.

Membership with SFU Recreation is a privilege. All members are expected to:

  • Enter the pool only under the supervision of a qualified Aquatic Centre staff member.
  • Bring proof of membership (SFU ID or equivalent membership card) every time, and scan in. Do not leave your card in your locker or office.
  • Take a cleansing shower before using the pool. Wash off deodorants, hair sprays, gels, etc.
  • Children 7 years and under must be accompanied in the water by a responsible person aged 16 years +. They must remain within arm’s reach at all times.
  • Inform an Aquatic Centre staff member of any medical concerns such as asthma, severe allergies, heart condition, etc., before entering the pool.
  • Any member with open sores, bandages, head colds, discharging ears/noses, or infected eyes are not allowed in the pool.
  • Running, fighting, or any act likely to cause an accident in the pool is prohibited and will result in a suspension from the Aquatic Centre.
  • Spitting on the deck, in the pool, or in the gutters is prohibited.
  • Dive in deep areas of the pool only.
  • Discard chewing gum before entering the pool.
  • No glass containers or food are allowed on the pool deck.
  • Outside footwear is not permitted on the pool deck or shower areas. Bare feet, aqua shoes, or deck sandals only.
  • Respect and be courteous of your fellow members and Aquatic Centre staff.
  • Use equipment safely and properly. Do not use equipment for purposes other than what they were designed for.
  • Clean up after yourself.
  • Put away all equipment to its appropriate location.
  • No external or private personal training permitted.

Age Requirements:

  • Supervision (by a responsible person 16 years +) is required for members 7 years and under.

Report any injuries, equipment malfunction, or concerns to the Aquatic Centre staff.

Members violating University Policies orthe Aquatic Centre Code of Conduct may have their Recreation Membership or Day Pass privileges revoked.
