Event booking process

Fill out the online room booking request form and then you will be contacted by Meeting, Events & Conference Services Staff member.

Events are available Monday to Friday from 8:00 am - 10:00 pm, and Saturday from 8:00am-6:00 pm.  We are able to open on Sundays, as well as arrange for earlier openings and later closings, but extra staff must be booked at an additional cost.

You will hear from us within 3 days (Monday-Friday). We may not be able to confirm your request immediately but will be able to give you a good indication of space availability for evening and Saturday events during the Fall, Spring and Summer semesters.

Once space is reserved, you will be sent a room rental agreement. This agreement outlines the conditions of rental and specifics of your event. Facilities and dates are only considered confirmed when we receive the signed rental agreement and Certificate of Insurance from you.


Payments are acceptable in cheque, credit card or cash.  Applicable taxes will be in effect. Clients are required to pay a 25% non-refundable deposit in order to secure space.  Additional deposit schedules may be required leading up to day of the event as well as a request to pay the full rental costs in advance.


Notice of cancellations must be submitted in writing. Cancellations will be subject to the following fees: 25% of the License Fee if cancellation is made more than 45 days before the Event date; 50% of the License Fee if cancellation is made between 7 and 45 days before the Event date; and 100% of the License Fee (including but not limited to, food and beverage and audio-visual services) if the event cancellation is made within 7 days of the Event date.

Audio and visual services

Each classroom comes equipped with a data projector, speakers, lectern computer and a screen included in the room rental. We provide on-site technical support at an additional cost for the full range of our equipment. Please refer to our Room Descriptions & Rates page.

Internet access

SFU Surrey offers high speed ethernet connections to the Internet from all of its classrooms and lecture theatres.  Please indicate that you need it in your request form submission. Fees may apply.

Marketing your event

Your event will be included in your weekly event listings. You can put up a sign in our "today's event" sign holders located at the top of the grand staircase and by the parkade doors. The size is a standard 8 1/2 X 11 sheet of paper.

Event storage

SFU Surrey is not able to provide storage space for meeting and events.

Safety and security

Campus Security is onsite 24/7. The main security station is located in the WestStone Group Grand Hall on the Mezzanine level. The parking lots are also patrolled 24 hours a day and there is a ‘Safe Walk’ program available for staff and guests for escorts to the parkade or Skytrain.
