SFU streamlines paperwork and processes

SFU’s administrative processes are about to get easier as the university moves to replace many of its paper forms and manual processes with electronic forms (eForms) and automated workflow.

“The goal is to create an ecologically sustainable, self-service environment that reduces workloads and paper waste, and improves customer service,” says Pat Hibbitts, v-p, finance and administration.

Over the past six months, SFU has been implementing a PeopleSoft project that will see many departmental work requests created and submitted online and then managed, authorized and tracked through PeopleSoft.

The project’s first phase will convert paper forms and workflows in the departments of Human Resources, Finance, Student Services and Graduate Studies.

Human Resources will replace its PAR paper form with online forms and automated workflow and the Department of Finance will apply workflow automation to forms such as Travel and Expense, Cash Advance and Purchasing Requisition. Both Student Services and Graduate Studies will make grade changes directly through PeopleSoft.

Hibbits says the project team will ensure the eForms are simple and user-friendly and that all staff learn how to use, manage and support them.

“While this project will change everyone’s daily work processes, we believe improving workflows and reducing the university’s environmental impact is a win for everyone.”
