Re: Advice re conference planning



We'd never consider holding a conference on the Burnaby campus. We tend to run all our conferences at Harbour Center.  They charge for rooms, but it is not too bad.  The catering is pretty pricey and you have to use their coffee/beverages (sometimes we sneak in our own cookies).  We also purchased an LCD projector for the department as the cost is about equivalent of renting one from Harbour Centre for 4 days.  (For a single session conference with a 120 people, though, you would have to use one of their big rooms and their projector with a technician)

The upside: there are good hotels all around that offer an SFU rate ($159/night for the Pan Pacific!?), lots of lunch and dinner choices, etc.

Another alternative: with a large number of out-of-town guests, hotels will give you a  package deal on the facilities if you book rooms with them.

If you are thinking of an intensive retreat-like meeting, though, downtown distractions are a disadvantage.  If it is out of season, try some of the lodges/guesthouses in the vicinity: Brew Creek Centre a few kms before  Whistler,  there are places on the gulf islands, if you want to go all out:Toffino (Middle Beach lodge has an old lodge and a new one and, off-season, it is not too outrageous for what you get if you take the old one)  A lot of these places are happy to make you package deal and visitors from out of town have a blast being in nature.  I would be surprised if you could not find a retreat both more secluded and cheaper than Whistler.  But the cost of an out-of-town retreat is going to be much higher than a downtown conference wherever you go.
