Outlook for Mac

Below you can find instructions on how to both share mail folders with your colleagues and accept folders shared with you in the Outlook 2016 for Mac desktop application.

Please note the following known limitations:

  • Outlook for Mac only allows the opening of shared folders that are nested under the folder owner's Inbox. As such, this requires the folder's owner to share the Inbox of their account (with permission set to 'None' and the 'Folder visible' box checked) in addition to the sub-folder.
  • Shares to maillists are not possible; only individual email addresses are permitted.

Sharing a mail folder

1. To share a folder in SFU Mail, you must first give permissions to all the folders it is nested under. To do so, right click on the mailbox folder (above Inbox) and choose Sharing Permissions...

2. In the window that appears, click the Add User... button.

3. Type the name of the user you would like to share a folder with into the search box. Select the user from the search results, then click Add.

4. This user will now appear in the Permissions list. Ensure that the following permission settings are in place, then press OK:

  • Permissions Level is set to None 
  • Read is set to None
  • Delete is set to None
  • Other is set to Folder visible only

5. As Outlook for Mac only allows for the sharing of folders that are nested under the Inbox, ensure that the folder you want to share is listed under your Inbox. If it is not, drag and drop it to your Inbox. It will then appear as a sub-folder of your Inbox.

6. Right click your Inbox, and select Sharing Permissions...

7. Repeat step 4.

8. Right click the sub-folder that you wish to share, then click Sharing Permissions...

9. In the window that appears, click the Add User... button. Type the name of the user you would like to share a folder with into the search box. Select the user from the search results, then click Add. This user will now appear in the Permissions list. Using the Permission Level drop down menu, grant the user a desired level of permission, then press OK.

Opening a shared mail folder

1. To open a mail folder that was shared with you, click the Outlook button in the menu bar at the top of the application, then select Preferences...

2. Under Personal Settings, click Accounts.

3. In the Accounts window, click the Advanced... button.

4. At the top of the box that appears, select the Delegates tab.

5. In the 'Open these additional mailboxes' section, click the + button.

6. Type in the email address or name of the user who shared a mail folder with you. Select this user from the search results, then click Add.

7. The user should now be listed under the 'Open these additional mailboxes' section. Click OK.

8. The shared mail folder(s) should be listed in the folder list on the left hand side of the application, nested under the user's name.
