Enrollment & Application Process

Welcome to the Enrollment and Application process page. Here you will find all the answers you need including maintaining enrollment for all three (3) age groups, the enrollment process, and program information including age specific program requirements and guidelines.

Maintaining Enrollment

At any time during the year, should a family who gained enrollment through a priority status (SFUCCS Staff Families/SFU Families/UniverCity Families) no longer have that status, they will be given 90 days’ notice to withdraw.

  • Notifying SFUCCS Admin on any status changes: Parents are responsible for notifying SFUCCS administration immediately if their priority status changes. Priority status will be routinely checked on the offer of a space and at transition to the next age group. Administration may check priority status of families at any time. Should administration determine that status has changed, and the family has not notified SFUCCS, childcare may be withdrawn immediately.
  • Transitioning to a new age group/program: is not automatic and not guaranteed. It will be based on priority status at the time of the transition. Sibling priority is not considered in transitioning.
  • Movement to the next age group: is done internally, in accordance with licensing regulations, with the SFUCCS administrator and Parents when a space becomes available. An application is not required when moving from one age group to another except when moving onto the School Age external waitlist. Priority status will be verified at the time of the transition. (e.g.: if a family who had SFU Families or SFUCCS Staff Families status at the time of first enrollment at SFUCCS but does not have the same priority now, the child may not be transitioned to the next age group if there are families in higher priority groups on the external wait list.)
  • Observe each program: Families are strongly encouraged to observe each appropriate program before making an application for care and understand our philosophy and values.

Maintaining enrollment in our school age programs:

To retain a School Age space, the minimum attendance should be a minimum of two (2) hours per day on average e.g., a combination of three sessions of afternoons and/or mornings per week for a total of two (2) hours per day, unless the child is on vacation or unwell. If your child only attends after-school care; the minimum of two (2) hours a day on average. For example; 3:00pm - 5:00pm at least three (3) days per week. If you utilize both before and after school care you must attend on average a total of two (2) hours per day for example; 8:15am - 9:00am then 3:00pm - 4:15pm at least three (3) days per week. Should attendance drop below this on a regular basis, SFUCCS will contact the family to discuss continued eligibility for full-time care space.

School Age applications for the external waitlist may be submitted once an offer has been made by School District 41 for the three schools SFUCCS services.

Infant / Toddler (3-36 months) Enrollment process

When a space becomes available, consideration will be given in the following order:

  1. Any children within the existing program who wish to make changes (eg. part-time to full-time) will be given first option to accept the vacant space based on their current priority status.
  2. If no child currently attending the program wants the available space, it is then offered to children on the waitlist in the following priority based on the earliest dates of application.

2nd Priority: Simon Fraser University Students, Staff & Faculty (SFU Families)

  • 2.1 SFU Families with one or more children currently enrolled in a SFUCCS program.
  • 2.2 SFU Families with no children currently enrolled in a SFUCCS program.

3rd Priority: University Residents

  • 3.1 UniverCity Families with one or more children currently enrolled in a SFUCCS program.
  • 3.2 UniverCity Families with no children currently enrolled in a SFUCCS program.

4th Priority: Non-SFU Families

Whilst any family is eligible to join the waitlist, the need for childcare from our priority groups leaves very few, if any, spaces for Non- SFU Families. 

Important: SFUCCS Staff, SFU and UniverCity Family priority status will be verified at the time of enrollment and transition to a different age group and the retention of childcare cannot be guaranteed if the priority status has changed.

Sapperton Infant & Toddlers to the Sapperton 3-5 years programs - Internal Movement

Children will be moved to the 3 to 5 age group based on birthdate and space availability. (from 34 months of age to the month of their 3rd birthday). If this is not possible, we are able to apply for a retention from our childcare licensing officer to retain children in the Infant and Toddler Age Group beyond their 3rd birthday.

NOTE: If we are unable to accommodate your child in the Sapperton 3 to 5 year old program by the time he/she has turned 3, SFU status families will be considered for a space in a 3 to 5 year old program at the Burnaby Mountain location, pending space availability.

3-5 years old Enrollment process

When a space becomes available, consideration will be given in the following order:

  1. Children who are ageing out of the Infant & Toddler programs at SFUCCS based on their current priority status.
  2. Any children within the existing program who wish to make changes (eg. part-time to full-time) based on their current priority status.

If none of the above steps have filled the space, it is offered to children on the waitlist in the following priority based on the earliest dates of application.

School aged (5-12 years old) Enrollment process

How does an offer of a school-age space work?

We are only able to offer school age spaces individually as school age space vacancy occurs.

The number of available spaces fluctuates from year to year depending on the number of children who:

  1. Age out of school age program (5-12 year old group)
  2. Unanticipated withdrawals 

For our internal children ageing out to go to kindergarten, information is provided early in the year regarding the school-age care programs, the elementary schools that SFUCCS serves, and the enrollement process.

SCHOOL AGE ENROLLMENT

INTERNAL:  1st - 30th September

School Age spaces that become available for September each year will be offered to eligible children in our 3-5 year-programs with a confirmed space in University Highlands Elementary in the following priority order.  No sibling priority is considered when transitioning children from 3–5-year programs to School Age.

  1. SFUCCS Staff Families and then SFU Families (Prioritized in the order of date of enrollment at SFUCCS)
  2. UniverCity Families (Prioritized in the order of date of enrollment at SFUCCS)
  3. Non-SFU Families (Prioritized in the order of date of enrollment at SFUCCS)

Families of any 3–5-year children who receive a space in University Highlands Elementary but not a space in our School Age programs, can apply to be added to the external School Age wait list.  The earliest date you may apply for the external wait list is when your child has a confirmed space in University Highlands Elementary.  

EXTERNAL:  1st October - 31st August

Spaces that become available between October each year to August the following year, are offered to the children on the external School Age wait list. The primary qualification to be on the School Age wait list is having a confirmed space in University Highlands Elementary.

Within each priority category, priority shall be applied according to date of application and in the following order:

  1. SFUCCS Staff families with one or more children currently enrolled in a SFUCCS program
  2. SFUCCS Staff families with no children currently enrolled in a SFUCCS program
  3. SFU Families with one or more children currently enrolled in a SFUCCS program
  4. SFU Families with no children currently enrolled in a SFUCCS program
  5. UniverCity Families with one or more children currently enrolled in a SFUCCS program
  6. UniverCity Families with no children currently enrolled in a SFUCCS program
  7. Non-SFU Families

SAPPERTON LOCATION
SCHOOL AGE ENROLLMENT

1st - 30th September
School Age spaces that become available for September each year, will be offered to eligible children in our 3-5 year-programs with a confirmed space in either Seaforth Elementary or Armstrong Elementary in the following priority order. No sibling priority is considered when transitioning children from 3–5-year programs to School Age.

  1. SFUCCS Staff Families then SFU Families/ (Prioritized in the order of date of enrollment)
  2. Non-SFU Families (Prioritized in the order of date of enrollment)

Families of any 3–5-year children who receive a space in either Seaforth Elementary or Armstrong Elementary but not a space in our School Age programs, can apply to be added to the external School Age waiting list. The earliest date you may apply for the external wait list is when your child has a confirmed space in either Seaforth Elementary or Arsmtrong Elementary.

1st October - 31st August
Spaces that become available between October each year to August the following year, are offered to the children on the external School Age wait list. The primary qualification to be on the School Age wait list is having a confirmed space in either Seaforth Elementary or Armstrong Elementary. 

Within each priority category, priority shall be applied according to date of application.

  1. SFUCCS Staff Families
  2. Seaforth/Armstrong Community with one or more children currently enrolled in a SFUCCS program
  3. Seaforth/Armstrong Community with no children currently enrolled in a SFUCCS program

Enrollment of Seaforth elementary children in the SFUCCS School Age program is capped at 18 due to the limited seating available on the school bus.
