Temporary Pool ePAR FAQs

How do I get access to Temporary Pool ePARs?

All supervisors who have CUPE employees reporting to them have access to create and approve ePARs within the department that their position belongs to.

If you require access to create or approve ePARs for additional departments, please fill out the HAP Special Security Access form and submit it to the Coordinator, Temporary Support Services at temppool@sfu.ca

How do I initiate a request through the Temporary Pool?

Supervisors can submit a request by doing the following: Log in to myinfo.sfu.ca > Select Gt ePAR > Select Create a new ePAR > Select Temp Pool eForm

How do I authorize the eForm for departmental/budget approval?

Regarding departmental approval, as a supervisor you are authorized to approve the request. If you are submitting an ePAR for an assignment in which the employee will have a different supervisor, the request will be directed to that supervisor for approval.

Regarding budget approval, an email notification of your request will be sent to the designated Administrative/Budget Approver for your department.

Can I request a specific employee for an assignment?

Yes. Once you are logged in to the Temp Pool eForm, select the option to request a specific Temp Pool employee. A list of all active Temp Pool employees (student and regular) will appear for you to choose from.

The work required for my request does not fall under any job description or job standard. What do I do?

Provide the reason for the work and the description into the Comments field of the ePAR (or upload as an attachment). Once the Coordinator, Temporary Support Services receives the ePAR they will reach out to you to discuss the classification.

You can refer to the CUPE Pre-Classified Job Descriptions for assistance in classifying assignments.

How do I end early or extend an assignment?

  1. Log in to myinfo.sfu.ca and select GT ePAR > Select Create a new ePAR > Temp Pool eForm
  2. Under "What do you want to do?" select End Early or Extend from the drop down menu
  3. A new box will populate in which you can input the original ePAR ID.
  4. Input the new end date in the field that appears

Can I reuse a previous ePAR?

Yes. You can only reuse a previous ePAR if it has been processed. 

  1. Log in to myinfo.sfu.ca and select GT ePAR > Select Create a new ePAR > Temp Pool eForm
  2. Under "What do you want to do?" select New Request - Copy Previous ePAR from the drop down menu
  3. A new box will populate in which you can input the original ePAR ID.

Please note: paper PARs processed from July 2015 are available to reuse in ePAR.

Can I request multiple employees through one ePAR?

No. You will need to submit one ePAR per employee requested. This is because ePAR is integrated into PeopleSoft so once the form is processed, the data imports into HAP and creates a timesheet for the employee.

However, you can use the option New Request – Copy Previous ePAR to save time (see above).
