Description, purpose and use of records

The series consists of records used in preparing the packages of background material which are sent to Senate members prior to each Senate meeting. Records include correspondence, agendas, committee reports, and minutes of previous Senate meetings.

Retention rationale

These records are used to prepare the Senate Minutes, Agenda and Supporting Papers; therefore, a total retention period of CY + 2 year is sufficient to meet the administrative need for these records. Upon expiry of the total retention period these records can be destroyed.
