Description, purpose and use of records
The record series is comprised of the official record of Senate meetings. Records include original agendas, minutes, reports, proposals, memoranda, correspondence, and background papers.
Minutes are used to document all deliberations of the Senate, including the passage of motions and resolutions and the approval of governing decisions. They cover both open sessions (available to all members of the University and the public) and closed (restricted to Senate members and the Senate Secretariat, typically concerning graduates and recipients of honorary degrees).

Retention rationale
The records have ongoing evidential value for documenting the Senate's roles and powers in the governance of the University, academic and major administrative appointments, the development and implementation of University policies and procedures, organizational development and change and the evolution of academic affairs over time. By transferring the records to the Archives following the expiry of the total retention period (CY + 5), the Archives can ensure these records are permanently preserved.
Retention and filing guidelines
Since 2015/2016 all Senate records are created and managed electronically (with the exception of vital record copies that were sent to the Archives for storage prior to revisions to this schedule in 2023).
