Position: Volunteer Coordinator-Basics for Health Program

Term: September 6 th , 2021 – April 2022

Hours: 15 hours/week – remote/on-site

Salary Range: $20-$22/hour

Position Summary:

The Volunteer Coordinator will be supervised by the Program Development Manager. The candidate will receive ongoing support during the course of their role. The volunteer coordinator position is an opportunity for a postsecondary student or young professional to support the Basics for Health Program, a volunteer-staffed program to assist vulnerable clients access the resources they need in order to be healthy. They will be involved with the recruitment, selection, training and management of a talented group of post-secondary student volunteers. There is also opportunity for front-line experience.

The volunteer coordinator role includes overseeing shift scheduling, tracking volunteer activities through a database, answering questions from volunteers, facilitating volunteer development meetings and maintaining a high quality of compassionate interaction between volunteers and clients. The volunteer coordinator is responsible for maintaining a team atmosphere among volunteers.

Responsibilities:

• Oversees shift scheduling and supervises volunteers.

• Arranges and/or delivers volunteer orientation and training for specific roles

• Tracks volunteer activities and client interactions through database and follows up as needed.

• Maintains files on each volunteer, ensuring documentation of screening practices.

• Identifies knowledge, skills, and abilities required to fulfill volunteer roles and refers to appropriate resources.

• Develops and implements relevant policies and procedures

• Develops opportunities for capacity-building and personal development among volunteers

• Communicates regularly with volunteers to create a supportive and engaging environment, including maintaining volunteer discussion boards (ie, Discord)

• Documents and addresses volunteer and staff concerns

• Ensures that volunteers regularly receive feedback on their performance

• Recognizes volunteers through both formal and informal appreciation measures

• Maintains video-conferencing station and signage onsite, prioritizing accessibility and ease-of-use for clients

• Troubleshoots remote workplace technology such as Telus Business Connect and Microsoft Remote Desktop, liaising with tech support as needed

• Prepares and submits progress reports as required, including monthly statistics summaries

• Performs other duties as required.

Team and centre activities:

• Participates actively in staff meetings and board committees.

• Participates in the overall activities of the health centre such as in-service training, committees, special events and shared staff responsibilities.

• Communicates clearly, listens accurately, is open to feedback, handles conflict appropriately, and displays sensitivity to others.

• Collaborates well with others, promotes cooperation and teamwork.

• Participates in REACH’s commitment to becoming discrimination free and an inclusive health centre and promotes a healthy lifestyle.

• Maintains the reputation and confidentiality of the health centre and its clients at all times.

• Adheres to all applicable REACH policies and procedures.

Qualifications and Skills:

• Background in Social Work, Public Health, or equivalent combination of education and experience

• Demonstrated experience managing people, experience managing volunteers an asset

• Demonstrated ability to engage and work closely with a wide range of individuals, including postsecondary students, healthcare providers, staff and vulnerable individuals and families.

• Demonstrated good working knowledge of Microsoft Office suite, and new software applications

• Experience with video-conferencing platforms and remote desktop software

• Able to organize, multi-task, problem solve and remain flexible within a fast-paced and changing environment.

• Exceptional communicator, a relationship builder and a mentor with knowledge of community, provincial, and federal support services.

• Experience working with post-secondary students and has knowledge of the social determinants of health.

• Ability to take initiative and be a strong team player

• Superior interpersonal, relationship-building and conflict resolution skills

• Strong written communication skills

• Commitment to the principles of volunteerism and the value of community development

• Ability to speak a second language is an asset; demonstrated cultural competency is an asset.
