Hours: 1.0FTE (8:30-4:30, Monday to Friday)

Salary: $51,000-56,000

Location: Victoria, BC

The Grants and Engagement Coordinator is a key position within BCHC, acting as the organization’s primary contact for our Healthy Communities grant programs and working specifically to support grant applicants and grant recipients across several of BCHC’s programs. You are responsible for managing numerous processes, tasks and projects through a combination of working independently and as part of a team.

  • Work with the Executive Director, who provides strategic oversight to content development, program delivery and partnership development to ensure our grant programs are implemented to meet program goals and objectives
  • Work closely with, and receive guidance from, the Communications Manager, who provides strategic oversight, for the development and promotion of program materials and communications activities
  • Work closely with, and receive guidance from, the Evaluation Specialist, who provides overall direction and advice for ongoing refinement and implementation of program evaluation activities
  • Work collaboratively with the BCHC delivery team staff to ensure coordination of grant capacity building supports and tracking, including linking learning to further refinement of future grant processes and supports
  • Work closely with BCHC administrative staff and finance to ensure tracking of grant payments/timelines, etc.
  • Provide direct support to grant applicants and recipients: fielding calls, supporting application development, outreach and communication, promotion, etc.
  • Work with other external multi-sectoral groups which may include Indigenous and non-Indigenous local governments, regional health authorities, school districts, not-for profit and community organizations as potential partnership opportunities arise

Key Responsibilities & Duties

Grant Management and Administration

  • Manage BCHC grant programs (i.e. PlanH, Active School Travel Pilot, other);
  • Support promotion and outreach of grant program and other offerings;
  • Develop applications, provide support to communities inquiring about grant offerings, answer inquiries, field calls, share resources
  • Provide day-to-day administration and monitoring of grants (monitor multiple email accounts, develop communications to grant recipients, draft MOU’s, field cheque requests; coordinate related invoices, contracts, financial administration, etc.)
  • Track inquiries and document ongoing learning and reflections around grant process from a quality improvement perspective
  • Organize and track data required from grant program to support evaluation (working closely with data management team)
  • Provide ongoing communication and support for communities in their learning objectives as part of the suite of supports offered with the grant; troubleshoot     any difficulties that may arise
  • Coordinate adjudication review/decision process (with BCHC team and funders and/or others)
  • Receive and review midterm and final grantee reports
  • Ongoing compilation of observations, quotes, anecdotal, etc.
  • Develop summaries and reports for evaluation, program updates, funders, working group meetings, etc.
  • Provide updates on grant project related events and activities towards communication strategy
  • Support knowledge translation efforts that promote high quality, evidence-based resources to guide and inform provincial learning
  • Provide information/knowledge of grants and community needs toward development of recommendations for subsequent grant programs
  • Build understanding and knowledge around grant making best practices
  • Maintain an online list of current grant opportunities
  • Represent BCHC on committees such as funders networks, etc.

Research and Evaluation

Work closely with the research and evaluation team to:

  • Support grant project research (research supports to communities if/where applicable and to BCHC delivery team) and to inform development of new grant streams
  • Support research activities such as survey development and administration, conducting interviews and focus groups, coordinating working groups, etc.
  • Utilize tools, checklists, apps, etc. to collect and track qualitative and quantitative data from grant programs and support data analysis in line with evaluation framework
  • Share information and experiences from grant communities to help to bridge across programs (themes, patterns, opportunities, challenges)
  • Conduct research (i.e. literature reviews) and support development of other program deliverables and subsequent supports (i.e. action guides, facilitated processes, resources, tools, webinars, etc.) as required

Community Engagement

  • Work closely and collaboratively with the BCHC team to:
  • Bring knowledge and expertise around topic areas such as age-friendly/healthy aging, active transportation, evaluation, equity, health and the built environment mental health physical activity/active communities, etc.
  • Support relationship-building and partnership development opportunities with health authorities, local governments, indigenous communities and a range of stakeholders (community organizations, academic, etc.)
  • Help to connect community, local government, and health authority needs with BCHC opportunities such as through the grant program offerings
  • From time to time, support development and delivery of a range of community supports (such as co-facilitated workshops, webinars and planning processes; asset mapping, community engagement activities)
  • Attend and present at events/conferences, etc. to promote BCHC and range of program offerings
  • Support knowledge exchange through providing insight at provincial level based on interactions with communities, local governments and health authorities

 

Participates as a Member of a Team

  • Attend, participate and contribute in team meetings, strategic meetings and planning sessions
  • Collaborate with staff and colleagues to achieve a coordinated approach
  • Remain current with best practices, trends, and opportunities to increase efficiencies

Required Skills

Required Knowledge, Skills, Abilities, & Qualifications

  • Master’s degree in a related field (community development, healthy communities, social sciences, social justice, public health, public policy, public administration, planning, etc.)
  • Minimum one year’s experience in project and/or grant management
  • Experience in communications/public relations, community outreach experience (or related)
  • Experience in delivering training, workshops, learning opportunities;
  • Effective relationships & partnership development skills (internal and external stakeholders)
  • Strong planning and organizational skills; detail-oriented
  • Strong interpersonal and written communication skills
  • Critical and conceptual thinking and analytical skills
  • Sound working knowledge and experience of principles of health equity, physical activity/active communities, health and built environment, mental health and wellness, and social determinants of health
  • Ability to work independently and part of a highly collaborative team
  • Ability to be discrete, maintain confidentiality, and use sound
  • Experience in or knowledge of non-profit, community development, local government, health authority, or related an asset
  • Research and evaluation experience an asset
