Email signature

Standardized email signatures unify SFU’s communications internally and externally. There is one layout that includes the SFU logo and one layout that includes the SFU logo with territorial acknowledgement of all campuses. All signatures must appear on a plain white background.

Important: You must create a signature for all platforms that you use for SFU Mail.

Where you add a new signature, copy and paste the Simon Fraser University signature, excluding the SFU logo below (this will be your last step):

Email Specifications

Replace placeholder text with your information. Delete text sections that are not needed.

1. Your Name:

a. Font: Arial (PC) or Helvetica (Mac)
b. Font size: 10pt
c. Font weight: bold
d. Color: black 

2.    Your Title | Your Department:

a. Font: Arial (PC) or Helvetica (Mac)
b. Font size: 10pt
c. Font weight: normal
d. Color: black

3.    Location and Contact Information:

a. Font: Arial (PC) or Helvetica (Mac)
b. Font size: 10pt

e. Use | to separate items

4.    Social Media:

        a. Social media addresses should be hyperlinked to their respective platform name, not the social media handle name. Delete social media names that are not needed.

        b. How to add a Hyperlink on Outlook Web App:

            i. Highlight desired text and click the Downward Arrow icon in the text editing bar, then click the Hyperlink icon

            ii. In the Address box, enter the web address. Click OK

        c. How to add a Hyperlink on Outlook for PC

            i. Highlight desired text and click  in the text editing bar

            ii. In the Address box, enter the web address. Click OK

 

        d. How to add a Hyperlink on Outlook for Mac

            i. Highlight desired text you want to hyperlink

            ii. Right-click highlighted text, click Hyperlink (^⌘K)

            iii. Enter the web address. click OK

 

5.  Additional information (optional)

        a. Add other info below in a light grey colour after the SFU signature

            i. Font: Arial (PC) or Helvetica (Mac)

            ii. Font size: 8pt or 10pt

            iii. Font weight: normal

            iv. Color: light grey

        b. Best practice is to avoid adding personal information, quotes or other information that is not endorsed by SFU

        c. Do not add territorial acknowledgement as text because the unicode characters will be flagged as spam by some external mail servers. See section below.

Add SFU logo below your contact information.

There are two versions of the SFU logo. One version includes only the SFU logo, a second version includes the SFU logo with territorial acknowledgement for all campuses.

1. Download the SFU logo to your computer:

2. Click on the image icon in your email signature editing window and upload the logo.

3. Please ensure that there is a one-line space between your signature and the logo, as shown in the example above.

4. Save your signature and test it.
