The Graduate Program Chair submits the Admission Recommendation Form, which may include text outlining any conditions and/or funding. 

  • The Admission Recommendation form is only accessible when the application is in the GPC Review bin AND in the GPC's Queue.
  • The Review Form is accessed inside the application by clicking the Review Form/Send to Bin button (bottom right)

Access to goGRAD/Slate

Graduate Studies staff ensures admission applications meet university standards, and that Graduate General Regulations are equitable and complied with. 

HOW TO ADD APPLICATIONS TO YOUR QUEUE

If the applications are not yet in your Queue, use these steps to move them. This step is assuming the applications are in the bin called GPC Review (Admission Rec Form).  

From inside the Reader:

  1. Click Browse (left side menu)
  2. In the Review Column, click the bin called GPC Review (Admission Rec Form)
  3. Click the application rows you wish to review (they will highlight in blue)
  4. Click Add to Queue (top right)

Display Icon

Click the display icon (white note on right side) to preview an application.

+5 and -5

Clicking on +5 or -5 (top bar) will add or remove five random applications to your queue.

If you are not recommending admission

From inside your Queue (left menu):

  • Click on an application to read through it.
  • Click on Review Form/Send to Bin (bottom right) to open the Admission Recommendation Form.
  • Click the Admission Decision (Waitlist, Deny or Withdraw).
  • Click Next Bin, and choose the appropriate bin destination from the dropdown (Waitlist, Deny or Withdraw).
  • Applicants will receive an email letting them know a decision letter can be accessed in their goGRAD portal. 

If you are recommending admission

From inside your Queue (left menu):

  • Click on an application to read through it.
  • Click on Review Form/Send to Bin (bottom right) to open the Admission Recommendation Form.
  • Complete the Admission Recommendation Form (see below for conditional admit text).
  • Click Next Bin and choose GS Review from the dropdown. You do not need to enter the name of a Reader.
  • When you click Send, the application will move to the GS Review bin for Graduate Studies staff to process.

The Recommendation form has built in logic; questions will change depending on the chosen admission type and category.

Meeting University Requirements There are several questions to confirm that the applicant meets minimum university requirements.  You need to provide specific rationale regarding recommendation for admission if any answers are negative.
Admission Conditions If you recommend admission as Conditional, a text box opens. This text will populate into the Offer of Admission letter. Graduate Studies staff may modify or change your text prior to the merge.
Program of Application Once you select the academic and program, additional fields and/or application sections may appear. Some programs require program-specific questions in order to fully evaluate your application.
Conditional admit reasons Your selection will place a corresponding enrollment hold(s) on the applicant's goSFU account.
  • C41 – Documentation Required
  • C42 – Completion of SFU program
  • C43 – English Competency
  • C44 – Course/CGPA Conditions
Admission Program, Term and Supervisors You can make selections and changes here. These changes will reflect in the letter and in the goSFU record. 
Admission Funding Offer When you enter the annual funding amounts in the relevant fields, the form will prompt you to select a funding offer text option (e.g., simple text). Selecting an option will automatically populate the corresponding funding text in the admission offer letter. 
Invitation for Entrance Scholarships The awards listed have been matched to the applicant's eligibility. If selected, the system will invite the candidate to submit information relating to the scholarship, which units can view later when deciding final nominees. 

How to add Conditional Admission Information

For conditional admissions: 

  • You must be specific (e.g., specific courses and grade expected).
  • You must use conditional admission for applicants who still need to provide one or more documents or transcripts, or whose current required credential is not yet completed.

Your selection in the form will place an enrollment hold (ie. service indicator) on the applicant's goSFU account. Conditions must be completed within 2 active terms in the program (see GGR 1.3.9).

To populate admission letter: if you recommend admission as Conditional, this text box opens – text you add here will display in the Offer of Admission letter. Graduate Studies staff may edit this text.

C41 - Transcript Conditions (if current degree needs to be completed)

  • Your admission is conditional upon SFU receiving your official transcript from [University Name] showing that your [degree name] has been duly awarded. This transcript is due before enrolling in your second term. Once your degree has been awarded, please arrange for an official transcript to be sent directly from the institution to the Faculty of Graduate Studies.

C41 - Transcript Conditions (only official transcript needed)

  • Your admission is conditional upon SFU receiving your official transcript from [University Name] showing that your [degree name] has been duly awarded. This transcript is due before enrolling in your first term. Please arrange for an official transcript to be sent directly from the institution to the Faculty of Graduate Studies.

C41 - Transcript Conditions (multiple transcripts needed)

  • Your admission is conditional upon SFU receiving your official transcript from [University] showing that your [Master's] degree has been duly awarded, your official transcript from [University] showing that your [Bachelor's] degree has been duly awarded and your official transcript from [University]. These transcripts are due before enrolling in your first term. Please arrange for the official transcripts to be sent directly from the institution to the Faculty of Graduate Studies.

C43 - English Language Requirement Conditions 

  • Your admission is conditional upon successfully meeting SFU's minimum English language requirements and submitting official language test scores before enrolling in your first term.

C44 - CGPA and/or Course Conditions

  • You are required to maintain a X.XX term GPA in each of the first two terms of the program.
  • You are required to complete and achieve a minimum grade of ____ in each course in the first two terms of your program.
  • Your admission is conditional upon successful completion of X course(s) with a minimum grade of X in [term 1 OR first 2 terms] of the program.

C44 - Accelerated Master's

  • Your admission is conditional upon completing your SFU Bachelor’s degree with a minimum 3.33 CGPA before enrolling in your first term. You are required to complete [course name] and achieve a minimum GPA of 3.5 or higher. Requirements are to be completed by [Month Year/term].

    Please note that your admission under the Accelerated Master's pathway allows you to apply up to ten units of graduate coursework toward your degree requirements for both the Bachelor's program and the Master's program in the (academic unit).

C42 Current SFU Student 

  • Your admission is contingent upon successful completion of your X degree from Simon Fraser University.

How to add Admision Funding Offer

The funding section of the Admission Recommendation Form is automated:

  • Enter annual funding amounts in the Year fields (the form will sum your entries).
  • Select from the approved text options.
  • Preview the approved text - this text will merge into the Offer of Admission Letter.

How to invite for an Entrance Scholarship

On the Slate Admission Recommendation Form, you can now identify which applicants you wish to invite to apply for Entrance ScholarshipsUnder Entrance Scholarships:

  • Click Yes if this is a top applicant and a fit for university wide Entrance Scholarships.
  • Check the box(es) for each scholarship you wish to invite the candidate to apply for. Slate will only display those that are a match for the applicant.
  • If selected, the system will invite the candidate to submit information relating to the scholarship, which units can view later when deciding final nominees.

The awards that display are based on the applicant's selections and self identification in the Admission Application Form

Notes 
  • Cannot move the application to GS Review bin? if another reader is listed at the bottom of the form, the application is locked from being moved. You will need to remove the application from that user's queue. 
  • Processing time: admission recommendations are processed in order of date submitted to Graduate Studies. Processing can take up to 5 to 10 working days. Errors in the Admission Recommendation Form may cause delays in processing time (applications will be moved back to the GPC Review bin with a note added).
  • Late submissions: admission recommendations submitted to GS Review after the beginning of the term are normally not approved; the admission is usually deferred to a subsequent term.
