find/resolve missing and DE grades

A Deferred Grade (DE) is a temporary grade assigned to individual students who have incomplete course work and are expecting to finish within the first month of the following term.

  • All DE grades are automatically assigned a lapse deadline (expiry date) of the last day of the first month of the next term (i.e.: Spring DEs will expire May 31st).  
  • If a grade or extension request is not received by the deadline, the DE grade will be converted to an N.

This page explains how to find and resolve DE grades if the conversion to an N grade is not intended.

how to look up DE grades

There are 2 ways to look up DE grades for your unit:

  1. GoSFU > Main Menu > Records and Enrollment > SFU Records, Dept, GS Queries > SFU Departmental Queries - DP - Blank and DE Grades
  2. GoSFU > staff homepage > Enrollment & Grades>Reports>Departmental Queries then DP - Blank and DE Grades

Deadline note: if a grade change eform (an official request to extend the lapse deadline) has not been submitted, then the deadlines you see in the system (in "queries") are incorrect — they don't reflect reality.

how to resolve DE grades

If a grade is available: submit a grade change through the goSFU eform.

If a DE grade requires an extension, submit a grade change through the goSFU eform.

Allow sufficient time: the eForm must complete all levels of approval for the grade to be posted before the deadline. If not, the new grade will not be captured before the lapse process. In addition, if the eForm is not fully approved and posted by the deadline, it will error out, and you will need to resubmit it.

Graduate Grading Policy

The Graduate Grading Policy states: all course work for such deferrals must be completed, and the course grade must be submitted, by the last day of the first month of the next term.

  • Grade changes are submitted through the online Grade Change form (E-Form) are routed for the required approvals at instructor, department and/or faculty level.
