set up/roll over admission cycle
Units are responsible for updating their website and correspondence and letting Grad Studies know of any changes required in goGRAD - the Graduate Admissions System.
Current information (dates, form questions, supervisor lists etc) will roll over to the new cycle if we are not contacted to change/update them.
This page outlines how units can find their existing set up and how to submit changes for their upcoming admission cycle.

Items to consider for set up
Units may want to consider the following items when preparing for their new admission cycle:
- check user access to see who needs to be removed/added
- check the list of potential supervisors that appears in the admission application
- update upcoming admission cycle deadlines
- update the number of days applicants have to accept the admission offer (default is 21 days)
- check for any application checklist updates, including how many reference are required
- check per-unit-fee programs (re: how many units occur within the first 12 months)
- check for specialty deposit information (if applicable)
- make changes to referee form questions (if applicable)
- make changes to reviewer form questions (if applicable)
Step 1: check user access and submit changes (if needed)
- Run Query: run the goGRAD/Slate access query to review the list of users. This includes GPC, GPA, Reviewer and Student Reviewer roles who have access to applications in your unit.
- Submit changes: use the GS System Access Form to add/edit/remove users. Use the comments section if adding/removing more than 1 user.
Step 2: check the list of supervisors and submit changes (if needed)
- Run Query: run the Potential Supervisor query to obtain a list of supervisors that appear in the admission application form. Click Export to download the data into an xls.
- Submit changes: notate or highlight the xls and send it to gradap@sfu.ca in xls format. Do not change the column names or order.
Step 3: Know how many references your unit requires
Applications move from Application to Review when required references and materials are complete. To find out how many references your unit currently requires return to the search and enter 'how many references.'
You can change this during step 4 if desired.
Step 4: use Rollover form to submit remaining changes
All other changes (cycle deadlines, checklist items etc) should be submitted using the following form:

To Prepare your submission:
- Run the Program Dates query: programs listed with a 1 (Active) and no deadline are open on an ongoing basis.
- Ensure all paid applicants from the previous years’ application cycle have received a decision before your selected opening date. It is recommended your program issue all decisions no later than the first day of classes for the fall term (September 3, 2025).
- If you are not sure how many references are required in your admission application, return to the How To Library and search that topic.
- If any of your selected dates fall on a Saturday/Sunday or holiday, we recommend choosing the next business day.
