The Graduate Progress Report (GPR) is the tool used to collect the annual progress report completed by all doctoral students and master’s students completing theses or research projects as per Graduate General Regulation 1.8.1

  • The GPR is a collaborative record of a student’s progress allowing input from the student, supervisory committee, and Graduate Program Chair.
  • Once a report is initiated by a student, it is expected to be completed within six weeks.

Overview of GPR Process

The GPR uses a step-by-step workflow where each person completes their section in sequence. Click on the links to learn more about each role and section.

  1. Graduate Programs start the process by sending instructions and deadline to student.
  2. Student Initiates + Completes Form
    The student fills out and submits their portion of the form.
  3. Supervisor & Committee Review
    Once submitted, the form is automatically routed to:
    • Supervisor and Co-Supervisor (if applicable)
    • Committee Member(s) (if applicable)
    • Each of these individuals completes and submits their section.
  4. Graduate Program Chair Approval
    After all committee members have submitted, the form is routed to the Graduate Program Chair for final review and approval.
  5. Form Complete | Grad Studies Review
    Once approved by the Chair, the form is considered complete and the GPR process is finalized. Graduate Studies is notified and reviews the Evaluation Outcomes.

Key Notes:

  • Each step must be completed before the form moves to the next person.
  • Automated notifications are sent when action is required.
  • After each stage of the form is completed, data is added to an online excel spreadsheet, accessible by GPA and GPC roles.

Graduate Programs

  • Graduate programs may need to prompt the students 6-8 week prior to the report due date. The Grad Study Detail Report may be the best tool to determine due dates.
  • After each stage of the report is completed, data will be uploaded to an online excel spreadsheet. 
    • Only GPAs, GPCs and Grad Studies will be able to access this form of the data.
    • Only students who have completed the GPR will show on the excel file.
  • Programs may be contacted for assistance. SFU email addresses for the student and supervisor must be used in the form. External email address can only be used for individuals not affiliated with SFU.
  • Form responses cannot be changed.

Students

  • Students are expected to initiate the report.
  • Students are expected to include all scholarly activities undertaken in the last year of their studies.
  • Programs/academic supervisory committees may provide students with specific information to include in the report.
  • All users, including the student, will receive a copy of the report once all stages are complete.

Academic Supervisor + Committee Review

  • These users are prompted to complete their portion by an email notification.
  • Academic supervisors are expected to provide feedback on student's degree progress including all academic activities undertaken in the last year of their studies, as well as provide an assessment of the students' progress. 
  • Committee members are expected to comment on the student’s degree progress undertaken in the last year of their studies and add any additional comments to the students’ report.   
  • All users, including the supervisor(s) and any committee members, will receive a copy of the report once all stages are complete.

Student Instructions

Graduate Program Chair Approval

  • Graduate Program Chairs are expected to review the student's evaluation and provide comments on the report. 
  • If the student receives an unsatisfactory assessment, Graduate Program Chairs are expected to schedule a Graduate Program Committee meeting and invite the student to discuss the outlined progress concerns as per GGR 1.8.2.
  • All users will receive a final copy of the report once all stages are complete.

  • Once all stages are complete, a final copy will be sent to all users, and form data will be updated to the excel spreadsheet.

GGR 1.8.2

GPR Assessment Outcomes (Fall 2026 onward)

  • Exceeds Expectations: superior academic performance that surpasses goals determined by the supervisory committee. No further steps are required.
  • Meets Expectations: solid academic performance that meets goals determined by the supervisory committee. No further steps are required.
  • Satisfactory with Concerns: academic performance that nearly fulfills goals determined by the supervisory committee but requires action to ensure continued progress. A plan addressing concerns should be developed with your supervisory committee.
  • Unsatisfactory: academic performance that does not fulfill goals determined by the supervisory committee and requires review by the graduate program. This outcome triggers GGR 1.8.2.
